Monthly accounting is a perfect example.<\/span><\/p><p><span style=\"font-weight: 400;\">Here&#8217;s my secret\u2026<\/span><\/p><p><span style=\"font-weight: 400;\">I try to outsource everything except the high-value tasks. This lets me focus on what truly moves the needle in my business. It&#8217;s a formula that&#8217;s worked incredibly well for me for years now.<\/span><\/p><p><span style=\"font-weight: 400;\">But there&#8217;s also a fourth category you need to watch out for:<\/span><\/p><p><b>Negative Value Tasks<\/b><span style=\"font-weight: 400;\"> \u2013 These are activities that give you the illusion of being productive while actually keeping you stuck. I&#8217;m talking about:<\/span><\/p><ul><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Excessive social media time<\/span><\/li><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Over-optimizing website design<\/span><\/li><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Constantly consuming educational content without taking action<\/span><\/li><\/ul><p><span style=\"font-weight: 400;\">These tasks feel productive in the moment, but they&#8217;re actually holding you back. They&#8217;re not just low value \u2013 <\/span><b><i>they&#8217;re negative value<\/i><\/b><span style=\"font-weight: 400;\">. They steal time from activities that could actually grow your business.<\/span><\/p><p><span style=\"font-weight: 400;\">Start tracking where your time goes for one week. I guarantee you&#8217;ll be shocked at how much time is going to low or negative value activities.<\/span><\/p>\t\t\t\t\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t<div class=\"elementor-element elementor-element-6eb98a0 e-con-full e-flex e-con e-parent\" data-id=\"6eb98a0\" data-element_type=\"container\">\n\t\t<div class=\"elementor-element elementor-element-13f372c e-con-full e-flex e-con e-child\" data-id=\"13f372c\" data-element_type=\"container\">\n\t\t\t\t<div class=\"elementor-element elementor-element-44400e7 elementor-widget elementor-widget-text-editor\" data-id=\"44400e7\" data-element_type=\"widget\" data-widget_type=\"text-editor.default\">\n\t\t\t\t\t\t\t\t\t<h2><b>Step #2: The &#8220;No To-Do List&#8221; System<\/b><\/h2><p><span style=\"font-weight: 400;\">This is going to sound crazy, but I <\/span><b>completely eliminated to-do lists<\/b><span style=\"font-weight: 400;\"> from my life.<\/span><\/p><p><i><span style=\"font-weight: 400;\">Why?\u00a0<\/span><\/i><\/p><p><span style=\"font-weight: 400;\">Because a to-do list is nothing more than a list of ideas. Until a task is physically scheduled for a specific time on your calendar, it&#8217;s just an idea \u2013 a backburner project list.<\/span><\/p><p><span style=\"font-weight: 400;\">Instead, I treat tasks like doctor&#8217;s appointments, blocking out specific times on my calendar for each activity.<\/span><\/p><p><span style=\"font-weight: 400;\">From 3:00 PM to 4:00 PM, I might be working on content creation. From 4:00 PM to 5:00 PM, it could be product development.<\/span><\/p><p><span style=\"font-weight: 400;\">This takes your to-do list to the next level by giving each task a specific time slot. It&#8217;s not just something you hope to get done \u2013 <\/span><b>it&#8217;s an appointment with yourself<\/b><span style=\"font-weight: 400;\">.<\/span><\/p><p><span style=\"font-weight: 400;\">Remember, these are tasks, not projects. Don&#8217;t assign yourself the project of building a website. Set yourself a fifteen minute block of time to find a WordPress theme, and a separate block of time to install all necessary plugins.<\/span><\/p><p><span style=\"font-weight: 400;\">If you don&#8217;t know what the next task in a project is, then assign yourself a fifteen minute block of time to figure it out.<\/span><\/p><p><span style=\"font-weight: 400;\">The difference is dramatic. When I switched from to-do lists to calendar blocking, my productivity nearly doubled overnight.<\/span><\/p><h2><b>Step #3: Setting &#8220;Unrealistic&#8221; Deadlines<\/b><\/h2><p><span style=\"font-weight: 400;\">As the cliche goes, &#8220;<\/span><i><span style=\"font-weight: 400;\">Shoot for the moon. Even if you miss, you&#8217;ll land among the stars.<\/span><\/i><span style=\"font-weight: 400;\">&#8220;<\/span><\/p><p><span style=\"font-weight: 400;\">If you set a slightly unrealistic time frame for a task, one that requires you to push yourself beyond your (current self-imposed) limit, you&#8217;ll complete it faster than if you &#8216;realistically&#8217; give yourself time based on your current level of effectiveness.<\/span><\/p><p><span style=\"font-weight: 400;\">I learned this from my university days.\u00a0<\/span><\/p><p><span style=\"font-weight: 400;\">When I had assignments, they would always fill up right until the last day, and I&#8217;d be hustling to finish at the deadline. I see the same pattern in online business all the time.<\/span><\/p><p><span style=\"font-weight: 400;\">This is <\/span><b>Parkinson&#8217;s Law<\/b><span style=\"font-weight: 400;\"> in action \u2013 work expands to fill the time available.<\/span><\/p><p><span style=\"font-weight: 400;\">By setting strict time limits, you force yourself to focus and get things done efficiently. Without them, tasks can drag on indefinitely.<\/span><\/p><p><span style=\"font-weight: 400;\">Tell yourself <\/span><i><span style=\"font-weight: 400;\">&#8220;In 15 minutes or less I will figure out ____&#8221;<\/span><\/i><span style=\"font-weight: 400;\">. Then set a timer and hold yourself to it.<\/span><\/p><p><span style=\"font-weight: 400;\">If you practice this regularly and hold yourself to it, you&#8217;ll become more efficient and resourceful overall. You&#8217;ll soon become the person everyone can count on to quickly come up with unique solutions to problems when things go wrong.<\/span><\/p><p><span style=\"font-weight: 400;\">Think of it like this: no one could run a 4-minute mile until one person broke the record.\u00a0<\/span><\/p><p><span style=\"font-weight: 400;\">Soon after, it became common. <\/span><b>Limits are in your mind<\/b><span style=\"font-weight: 400;\">. By pushing yourself harder and believing you can do it, you&#8217;ll automatically go farther than trying to stay within what you believe is realistic.<\/span><\/p><h2><b>Step #4: The &#8220;Burn Your Bridges&#8221; Accountability Method<\/b><\/h2><p><span style=\"font-weight: 400;\">Want to get something done? <\/span><b>Make procrastination impossible<\/b><span style=\"font-weight: 400;\">.<\/span><\/p><p><i><span style=\"font-weight: 400;\">Here&#8217;s a real example from my business<\/span><\/i><span style=\"font-weight: 400;\">:\u00a0<\/span><\/p><p><span style=\"font-weight: 400;\">When launching new products, I announce the launch date publicly to our email list and customers. Once it&#8217;s out there, I HAVE to deliver. I&#8217;ve made this commitment public with my friends, family, and business partners.<\/span><\/p><p><span style=\"font-weight: 400;\">It&#8217;s amazing how much you can accomplish when you eliminate the option of backing out. This forces you to take massive action and do whatever it takes to get the task done.<\/span><\/p><p><span style=\"font-weight: 400;\">Some ways I&#8217;ve implemented this method:<\/span><\/p><ul><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Don&#8217;t have the sales letter finished for your new info product? Email your subscribers and tell them the product is going live in two days.<\/span><\/li><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Haven&#8217;t gotten the images done for your Amazon listing or completed the keyword research? Ship the inventory to Amazon&#8217;s warehouse immediately.<\/span><\/li><\/ul><p><span style=\"font-weight: 400;\">Of course, you&#8217;ll need to have an idea of how long the task will take to be done properly.\u00a0<\/span><\/p><p><span style=\"font-weight: 400;\">Don&#8217;t make it completely impossible<\/span><span style=\"font-weight: 400;\"> to do in the timeframe you&#8217;ve given yourself. However, let&#8217;s say you know it will take 5-7 hours to do. Take an action that puts pressure on you to make it happen within the next 24 hours.<\/span><\/p><p><span style=\"font-weight: 400;\">This strategy alone has probably been responsible for millions in revenue that otherwise might have been left on the table due to procrastination.<\/span><\/p><h2><b>Step #5: The 55-55-25 Focus Method<\/b><\/h2><p><span style=\"font-weight: 400;\">By following this schedule, you&#8217;re likely to accomplish more in a four hour block of time than most people do in an entire eight hour day of scattered unfocused actions.<\/span><\/p><p><span style=\"font-weight: 400;\">Here&#8217;s how it works:<\/span><\/p><ol><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Work for <\/span><b>55 minutes<\/b><span style=\"font-weight: 400;\"> of completely uninterrupted focus<\/span><\/li><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Take a <\/span><b>5-minute break<\/b><span style=\"font-weight: 400;\"> to stretch and recharge<\/span><\/li><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Work for another <\/span><b>55 minutes<\/b><span style=\"font-weight: 400;\"> of deep focus<\/span><\/li><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Take a <\/span><b>25-minute rejuvenating break<\/b><span style=\"font-weight: 400;\"> (eat, walk, play a quick game \u2013 whatever recharges you)<\/span><\/li><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Repeat the cycle once more<\/span><\/li><\/ol><p><span style=\"font-weight: 400;\">Make sure to use a timer so you&#8217;re not going over the allotted time or losing focus constantly checking the time.<\/span><\/p><p><span style=\"font-weight: 400;\">After your next twenty-five minute break, allow yourself to end the workday by attending to any miscellaneous tasks and &#8216;fires&#8217; that inevitably come up in business. Only when all sets are finished can you check social media, newsletters, and any other distractions you used to let derail you during the day.<\/span><\/p><p><span style=\"font-weight: 400;\">This method works because it<\/span><b> aligns with how our brains naturally function<\/b><span style=\"font-weight: 400;\">. We can maintain intense focus for about an hour before needing a break, and the longer rejuvenating breaks help prevent burnout and keep creativity flowing.<\/span><\/p><p><span style=\"font-weight: 400;\">When I implemented this system, the quality of my work improved dramatically while also reducing the total hours I spent working.\u00a0<\/span><\/p><p><b>It&#8217;s a win-win<\/b><span style=\"font-weight: 400;\">.<\/span><\/p><h2><b>Step #6: The Study-Action-Action Ratio<\/b><\/h2><p><span style=\"font-weight: 400;\">To prevent information overload and overwhelm, your study to work ratio should be that for every ten minutes you study, you immediately block in 20 minutes of work to execute what you just learned.<\/span><\/p><p><span style=\"font-weight: 400;\">Let&#8217;s be honest \u2013 many of us are information addicts. We constantly consume courses, podcasts, and books on business and marketing, but we fail to implement what we learn.<\/span><\/p><p><span style=\"font-weight: 400;\">The 1:2 ratio forces you to take action. For every hour of learning, you commit to two hours of doing.<\/span><\/p><p><span style=\"font-weight: 400;\">This simple shift will instantly make you more productive because:<\/span><\/p><ol><li style=\"font-weight: 400;\" aria-level=\"1\"><b>You&#8217;ll be more selective<\/b><span style=\"font-weight: 400;\"> about what you learn (since you know you have to implement it)<\/span><\/li><li style=\"font-weight: 400;\" aria-level=\"1\"><b>You&#8217;ll retain information better<\/b><span style=\"font-weight: 400;\"> by applying it immediately<\/span><\/li><li style=\"font-weight: 400;\" aria-level=\"1\"><b>You&#8217;ll make real progress<\/b><span style=\"font-weight: 400;\"> instead of just feeling like you&#8217;re making progress<\/span><\/li><\/ol><p><span style=\"font-weight: 400;\">Even if you have a goal of mastering a particular skill, and want to study everything you can to become the best at it, you still need to follow the study-action-action ratio to achieve that. Mastery is more about practice than it is about studying.\u00a0<\/span><\/p><p><span style=\"font-weight: 400;\">You don&#8217;t learn to play a musical instrument by reading anymore than you become a master copywriter or PPC expert by reading. It&#8217;s why Facebook founder Mark Zuckerberg wears the same shirt everyday, to avoid wasting any willpower deciding what to wear.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">As an entrepreneur, you are faced with many important decisions every day, so it&#8217;s important to have systems and routines in place that diminish the amount of trivial decisions you need to make.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Here&#8217;s what I do:<\/span><\/p>\n<ul>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">I plan my meals for the week in advance<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">I have a set morning routine that I follow without thinking<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">I wear a &#8220;uniform&#8221; of sorts (not literally, but I have a go-to style that makes choosing clothes simple)<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">I use templates for common emails and documents<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">I have standard operating procedures for recurring business tasks<\/span><\/li>\n<\/ul>\n<p><span style=\"font-weight: 400;\">By <\/span><b>eliminating these small decisions<\/b><span style=\"font-weight: 400;\">, I preserve my mental energy for the big, important choices that really move my business forward.<\/span><\/p>\n<h2><b>Step #8: Creating a Resourceful State<\/b><\/h2>\n<p><span style=\"font-weight: 400;\">To perform at your best, you need to be in a <\/span><b><i>focused, resourceful state of mind.<\/i><\/b><\/p>\n<p><span style=\"font-weight: 400;\">The more stress and pressure you&#8217;re able to handle, the more opportunities you&#8217;ll be able to take advantage of. Setting yourself &#8220;stressful&#8221; goals with high pressure and being able to achieve them will take you much farther than setting small, reasonable goals that don&#8217;t push you beyond your existing comfort zone.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">I&#8217;ve created a list of <\/span><b>15+ triggers<\/b><span style=\"font-weight: 400;\"> that induce a resourceful state of mind for me, and then developed a way to include as many of these as I can into my daily routine.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">For me, these include:<\/span><\/p>\n<ul>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Listening to my favorite soundtracks<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Morning exercise<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">A quick round of meditation<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Having a clean, organized workspace<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Writing in a gratitude journal for 5 minutes<\/span><\/li>\n<\/ul>\n<p><span style=\"font-weight: 400;\">Just as important is <\/span><b><i>identifying what triggers<\/i><\/b><span style=\"font-weight: 400;\"> cause you to feel unresourceful. What brings you down and causes you to feel weak, unmotivated and low on energy?<\/span><\/p>\n<p><span style=\"font-weight: 400;\">For me, these include:<\/span><\/p>\n<ul>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Complaining or listening to others complain<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Personal drama<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Not getting enough sleep<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Eating too much junk food<\/span><\/li>\n<\/ul>\n<p><span style=\"font-weight: 400;\">By maximizing positive triggers and minimizing negative ones, you put yourself in the optimal state for productivity.<\/span><\/p>\n<h2><b>Step #9: The Habit of Completion<\/b><\/h2>\n<p><span style=\"font-weight: 400;\">One of the best exercises I do weekly: I choose 3 things I started but didn&#8217;t follow through on, and finish them all in a single afternoon.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">It&#8217;s not about how good they are or whether I consider the result satisfactory enough to use as the final version. It&#8217;s about practicing and strengthening the habit of getting things done. Imperfectly finished is much better than perfectly not finished.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">This habit builds what I call your &#8220;<\/span><b>completion muscle<\/b><span style=\"font-weight: 400;\">.&#8221; The more you practice finishing things, the better you get at it.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Most entrepreneurs have a graveyard of half-finished projects<\/span><span style=\"font-weight: 400;\">.&nbsp;<\/span><\/p>\n<p><span style=\"font-weight: 400;\">This exercise helps ensure you don&#8217;t continue adding to that graveyard.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Plus, there&#8217;s an incredible psychological boost that comes from completion. Each finished project gives you momentum and confidence to tackle the next one.<\/span><\/p>\n<h2><b>Step #10: Systems for Everything<\/b><\/h2>\n<p><span style=\"font-weight: 400;\">The final step to $100M productivity is having systems for everything. <\/span><b>I mean EVERYTHING<\/b><span style=\"font-weight: 400;\">.<\/span><\/p>\n<ul>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Email templates<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Webinar slides<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Blog posts<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">YouTube content<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Sales copy<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Landing pages<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Evergreen email autoresponders<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Evergreen webinars<\/span><\/li>\n<\/ul>\n<p><span style=\"font-weight: 400;\">Take a mundane task you do on a regular basis and design a system to accomplish a better outcome from it in half the time.&nbsp;<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Then take an important, high-level task and do the same thing.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Find a way to turn some part of it into a template. Devise a formula that requires less thinking the next time around.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">This not only helps you be more productive in the short-term, it increases the value of your business when\/if the time comes to sell. The ease with which a new owner can take over and successfully run the business with little to no knowledge or learning curve, the easier it is to sell and the more money you can demand for it.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">My business partner and I were able to sell one of our companies for substantially more than the industry average multiple precisely because we had documented systems for everything we did.<\/span><\/p>\n<h2><b>The Real Secret: Consistent Practice<\/b><\/h2>\n<p><span style=\"font-weight: 400;\">Here&#8217;s what makes these principles so powerful \u2013 <\/span><b>they work together<\/b><span style=\"font-weight: 400;\">. Each one builds on the next.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">You focus on high-value tasks (Principle #1), schedule them in your calendar (Principle #2), set tight deadlines (Principle #3), create accountability (Principle #4), use the 55-55-25 method to stay focused (Principle #5), implement what you learn immediately (Principle #6), preserve mental energy (Principle #7), maintain a resourceful state (Principle #8), build the completion habit (Principle #9), and systematize everything (Principle #10).<\/span><\/p>\n<p><b><i>It doesn&#8217;t happen overnight<\/i><\/b><span style=\"font-weight: 400;\">.&nbsp;<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Everything here requires practice to turn into a habit. Don&#8217;t get discouraged if you fall back into old habits for a few days. Just make sure to bounce back and keep practicing.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Remember, it&#8217;s not about working more hours,<\/span><b> it&#8217;s about getting more out of the hours you are working<\/b><span style=\"font-weight: 400;\">. It&#8217;s ok to end the day feeling a bit exhausted.
